What we collect, why, who else sees it and how long we keep it. Written to be read, not to be skipped.
Who we are
Kalchevo, Weymouth, Dorset. We decide how the information on this page is used, which makes us the controller under UK data protection law. Questions about any of it go to [email protected].
What we collect and why
- When you fill in the contact form: your name, business, email, phone if you give it, your answers and any photos you send. We use it to reply and to put together a price. The lawful basis is taking steps at your request before a contract.
- When you are a customer: your account details, the services you have, invoices and payments, support jobs and anything you attach to them, and a log of AI credits used. We need this to provide the service and to bill for it (contract), and to keep proper accounts (legal obligation).
- When you use the AI tools: the text or picture description you type is sent to the AI company that does the work, and we log what was used and how many credits it cost. We do not use your content for anything else.
- When you browse this site: a login cookie if you sign in to the portal, and nothing else, unless you say yes to Google Analytics, which counts visits. You can change your mind by clearing this site's data in your browser.
Who else sees it
- Our server company, which runs the data centre in Germany where the server sits.
- Cloudflare, which sits in front of the server to keep it fast and fend off attacks.
- PayPal, when you pay an invoice or buy credits. We never see or store your card details.
- Our email provider, to send you receipts, invoices and replies.
- AI providers such as OpenAI, Anthropic and Google, only for the text you send through the AI tools.
- Google, for visit counts, only if you have said yes to analytics.
We do not sell your information and we do not pass it to anyone for marketing.
Where it is kept
On our own server in Germany. The UK recognises EU data protection as equivalent to its own, so your information is protected exactly as it would be in Britain. Some of the companies above, the AI providers in particular, may handle data in the United States. Where that happens we rely on the safeguards the law requires, such as the UK and US data bridge or approved contract terms.
How long we keep it
- Enquiries that do not turn into work: up to two years, then deleted.
- Customer, billing and invoice records: six years after the end of the financial year they relate to, because the tax rules say so.
- Support jobs and attachments: while you are a customer, then up to two years.
- AI usage logs: while you are a customer, then up to two years.
- Backups: 30 days, then overwritten.
Your rights
You can ask for a copy of what we hold about you, ask us to correct it, delete it, stop using it or hand it over in a format you can take elsewhere. Email [email protected] and we will deal with it within a month. If you are not happy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk.
Websites we host for customers
When we host a customer's website, the business that owns the site decides what it collects from its own visitors and is the controller for that. We look after it on their behalf as a processor, under the terms on our terms page. If you have a question about a site we host, ask the business that runs it first.
